The Executive Assistant to the Hotel General Manager provides high-level administrative and clerical support to the General Manager and senior leaders at Catamaran Resort Hotel & Spa. This role manages schedules, responds to guest and vendor requests, handles VIP reservations, and ensures smooth executive office operations. Strong organizational, communication, and time management skills are essential, along with discretion and confidentiality.

Daily duties include reading and routing incoming mail, monitoring Medallia guest surveys, and responding on behalf of the General Manager to promoter surveys. Maintain records of returning guest satisfaction recovery stays, notifying departments of stay dates, prior issues, and action items. Issue and track complimentary stay certificates for guest satisfaction, group concessions, or donations.

Compose routine correspondence and emails to guests and vendors, organize file systems, and coordinate meetings while conducting billing research. The Polynesian-themed resort on Mission Bay features 310 rooms, lush gardens, and Oceana Coastal Kitchen. Responsibilities

  • Read and route incoming mail; respond as needed to guest inquiries and feedback
  • Monitor Medallia guest surveys daily and respond on behalf of General Manager to all promoter surveys
  • Maintain record of returning guest satisfaction recovery stays and notify relevant departments of guest stay dates, prior issues, and action items
  • Issue and maintain record of all complimentary stay certificates for guest satisfaction, group concessions, or charitable donations
  • Compose and send routine correspondence and emails to guests and vendors as needed
  • Organize and maintain file system and file correspondence and other records
  • Manage General Manager's schedules and coordinate meetings
  • Handle VIP reservations, billing, and payment research
