About this role
The Groups & Events Coordinator is the first point of contact when a private event inquiry is received. This incredibly exciting, varied and rewarding role requires exceptional drive and high levels of organization to manage a high volume of inquiries.
Day-to-day responsibilities include responding to client requests for meetings, corporate events, dinners, screenings and parties from start to finish. You will prepare proposals, contracts, deposits and internal communications, as well as event function sheets and daily updates to catering and hotel software.
You will tour, inspect and monitor event rooms to ensure they always look presentable, and hold site inspections with prospective and existing customers. Working closely with Operational Management, you will ensure all aspects of events are well-planned and cost effective, while distributing daily events reports and communicating requirements to clients and internal departments.
This role also involves assisting with group bookings, VIP bedroom requests, long stays and entertainment groups, acting as an ambassador for Soho House during guests' stays. You will build and maintain strong relationships with clients and collaborate with the Front Office Manager and Revenue & Reservations Team to maximise opportunities.

Requirements
- Bachelor degree in a hospitality or events related study and a minimum of 1+ years relevant experience
- Passion for food and beverage, hotels and events
- Natural ability to connect with other people
- Flexible schedule and ability to work outside office hours, including nights, weekends and holidays
- Strong organizational and project management abilities
- Adaptable in various situations
- Ability to work effectively under time constraints and deadlines
- Excellent written and communication skills in English and Dutch
Responsibilities
- Respond and handle requests from clients for meetings, corporate events, dinners, screenings and parties from start to finish, including set-up, food and beverage, rooms and audio-visual needs via email and phone
- Prepare all typed materials like proposals, contracts, deposits and all internal communication
- Prepare event function sheets and update catering and hotel software daily
- Tour, inspect and monitor event rooms to always look presentable; prepare and hold site inspections with prospect and existing customers
- Distribute daily events reports and communicate requirements to clients and internal departments
- Work closely with Operational Management to ensure all aspects of events are well-planned and cost effective
- Assist with group bookings, VIP bedroom requests, long stays, travel agents and entertainment groups, acting as a contact person during their stay
- Build and maintain good relationships with clients prior, during and after their stay in the house
