At Montage International, we live by the notion of doing what you love. As Meetings & Events Coordinator, you will provide strategic administrative support to the Director of Meetings & Events and the Sales Managers, helping bring our vision to life.

You will create a welcoming environment for guests and associates, receive initial inquiries, and provide preliminary catering information. For events of ten guests or fewer, you take full responsibility—from creating contracts and deposit schedules to organizing Banquet Event Orders and overseeing execution.

You will assist managers in scheduling appointments, coordinating rentals and specialty items, conducting client site inspections, and supporting tastings. Daily use of Word, Excel, PowerPoint, and Outlook is essential, along with Delphi experience for internal reporting.

Requirements

  • Minimum of 1 year of banquet service, events service, or sales administrative experience.
  • Minimum of 2–3 years of customer service experience in a hotel, events, or restaurant environment.
  • Working knowledge of spirits, wine, and dining.
  • Basic math skills with ability to accurately handle billing.
  • Ability to communicate clearly and speak, read, write, and understand English fluently.
  • Luxury hotel experience strongly preferred.
  • Advanced skills in Word, Excel, PowerPoint, and Outlook; daily use of nearly all programs required.
  • Delphi experience preferred.

Responsibilities

  • Create a welcoming environment for guests and associates, and receive preliminary inquiries.
  • Provide preliminary catering information and forward qualified leads to catering managers.
  • Take full responsibility for events of ten guests or fewer, including contracts and deposit schedules.
  • Organize Banquet Event Orders (BEOs) and oversee the execution of small events.
  • Assist managers in scheduling appointments, coordinating rentals, and specialty items for events.
  • Conduct client site inspections, tastings, and potential client entertainment.
  • Produce and distribute contracts, BEOs, resumes, menus, and related catering paperwork.
