About this role

The VIP/Events Coordinator is responsible for delivering exceptional, personalized service to guests and ensuring flawless execution of resort events. This role blends hospitality, event logistics, and guest relations, acting as the primary liaison between VIP guests, internal departments, and external vendors.

Day-to-day, the coordinator anticipates guest needs, manages event details from planning through execution, and elevates every experience. The role requires multitasking and prioritizing departmental functions to meet deadlines, while maintaining a warm and friendly demeanor at all times.

You will work within a forward-thinking company that provides expert guidance through all stages of the property cycle. Located within Southernmost Beach Resort in historic Old Town Key West, you will be part of a team that spans over 6 acres with Atlantic Ocean front views, gorgeous architecture, and all the amenities of a beach resort.

Requirements

  • Must be able to effectively communicate both verbally and in writing with all levels of employees and guests in an attentive, friendly, courteous, and service-oriented manner.
  • Must be effective at listening to, understanding, and clarifying concerns raised by employees and guests.
  • Must be able to maintain confidentiality of information.
  • Must be able to multitask and prioritize departmental functions to meet deadlines.
  • Must be effective in handling problems, including anticipating, preventing, identifying, and solving problems as necessary.
  • Must be able to understand and evaluate complex information and data from various sources to meet appropriate objectives.
  • Must be able to maintain regular attendance in compliance with Highgate Hotel Standards, as required by scheduling which will vary according to the needs of the hotel.
  • Must comply with Highgate Hotel Standards and regulations to encourage safe and efficient hotel operations.

Responsibilities

  • Serve as the primary liaison between VIP guests, internal departments, and external vendors to ensure flawless event execution.
  • Anticipate guest needs and manage event details from planning through execution to elevate every experience.
  • Maintain a warm and friendly demeanor at all times when interacting with guests and employees.
  • Effectively communicate both verbally and in writing with all levels of employees and guests in an attentive, friendly, courteous, and service-oriented manner.
  • Multitask and prioritize departmental functions to meet deadlines.
  • Attend all hotel required meetings and trainings.
  • Participate in Manager on Duty (M.O.D.) coverage as required.
  • Maintain high standards of personal appearance and grooming, including wearing nametags.
